Submissions Pathway

1. Introduction and Scope

These Author Guidelines establish the official submission standards, procedural requirements, and scholarly responsibilities governing manuscript preparation, double-blind peer review, acceptance, and post-publication ethical conduct. Authors are required to comply fully with all policy directives outlined herein. The Journal of Exact Community Health & Rehabilitation Sciences (JECH), published by EXACT RESEARCH SOLUTIONS (SMC-PRIVATE) LIMITED, publishes high-quality original research, systematic reviews, randomized controlled trials, observational studies, clinical case reports, and narrative reviews. The journal's scope encompasses evidence-based clinical practice, physiotherapy, physical therapy, community health, rehabilitation sciences, and allied medical disciplines. Every submitted manuscript undergoes preliminary editorial screening and double-blind peer review to evaluate its methodological validity, scientific contribution, and clinical significance prior to an editorial decision.

2. Access Model and Article Processing Charges

2.1 Open Access Policy

Journal of Exact Community Health & Rehabilitation Sciences (JECH) operates as a fully open-access journal. To promote immediate knowledge translation and global health equity, all accepted manuscripts are published online immediately following editorial production under the Creative Commons Attribution 4.0 International (CC BY 4.0) license. Under this license, authors retain the copyright to their work while granting open access permitting unrestricted reuse, redistribution, and reproduction in any format or medium, provided the original published work is appropriately cited.

2.2 Article Processing Charges (APCs)

JECH does not charge any submission or evaluation fees. To sustain high-quality editorial infrastructure, peer-review oversight, and open-access publishing operations, an Article Processing Charge (APC) of 26,000 PKR for authors within Pakistan or 100 USD for international authors is levied upon formal acceptance. This single charge covers publication costs regardless of page length. The editorial office will communicate final APC payment details following manuscript acceptance, and the manuscript will proceed to production once the fee is confirmed by the corresponding author.

Note: Authors seeking fee adjustments due to financial hardship or institutional grant constraints are encouraged to contact the editorial office at Admin@jech.exactresolution.com prior to or upon manuscript submission to request a partial waiver.

3. Editorial and Peer Review Policies

3.1 Peer Review Process

The Journal of Exact Community Health & Rehabilitation Sciences (JECH) operates a strict double-blind (double-anonymised) peer review system to preserve objectivity, scientific integrity, and impartiality. The identities of both authors and reviewers are completely concealed from one another throughout the entire evaluation workflow. Every manuscript submitted to JECH undergoes initial editorial screening by the handling editor to evaluate its alignment with the journal's scope in health, physiotherapy, rehabilitation, and allied medical sciences. Submissions meeting baseline criteria are assigned to at least two independent expert peer reviewers for rigorous evaluation. The Editor-in-Chief and Editorial Board, operating under EXACT RESEARCH SOLUTIONS (SMC-PRIVATE) LIMITED, retain full editorial authority to desk-reject any submission prior to external review if it fails to meet standards regarding scope, methodological rigor, ethical compliance, or scholarly quality.

3.2 Editorial Decisions

Following external peer evaluation, the handling editor issues one of four formal editorial decisions: Accept, Minor Revision, Major Revision, or Reject. When revisions are requested, authors must submit a fully revised manuscript along with a structured, point-by-point response document addressing each reviewer comment and editorial query in detail. Revised manuscripts must be resubmitted within the timeframe specified in the decision notification. Failure to resubmit within the designated window may result in the file being closed or treated as a new submission. Requesting revisions does not guarantee ultimate acceptance, as revised manuscripts may undergo re-evaluation by the original or new reviewers.

3.3 Appeals

Authors who genuinely believe a manuscript rejection decision resulted from a direct factual error or demonstrable reviewer oversight may submit a formal written appeal. Appeals must be directed to the editorial team at Admin@jech.exactresolution.com within 30 calendar days of receiving the final decision notice. The appeal submission must concisely outline the factual discrepancies and provide concrete scientific evidence supporting the request. Please note that editorial decisions grounded in subjective assessments of novelty, clinical relevance, scope alignment, or priority for publication fall under sole editorial discretion and are not eligible for appeal.

3.4 Communication During Review

To maintain absolute confidentiality and prevent potential conflicts of interest, direct communication between authors and peer reviewers during or after the review process is strictly prohibited. All inquiries, manuscript status updates, and formal correspondence must be conducted exclusively through the OJS platform or via official editorial office communications (Admin@jech.exactresolution.com)

4. Research Ethics and Integrity

4.1 Ethics Approval

All research studies involving human participants, patient data, clinical interventions, or animal models submitted to the Journal of Exact Community Health & Rehabilitation Sciences (JECH) must have received formal, documented ethical approval from an accredited Institutional Review Board (IRB), Ethics Committee, or equivalent institutional body prior to initiating the investigation. In compliance with ICMJE Recommendations, the manuscript text must explicitly state the full official name of the approving ethical committee, the formal reference/approval protocol number, and the exact date of ethical authorization. If a study was granted an exemption from full ethical review by an institutional committee (e.g., secondary analysis of fully de-identified public datasets), the authors must explicitly detail the legal and institutional rationale for the exemption within the manuscript's Methods section.

4.2 Informed Consent

For all clinical trials, observational research, health surveys, and rehabilitation studies involving human subjects, authors must explicitly confirm that written informed consent was secured from each participant (or from parents or legally authorized guardians in the case of minors or vulnerable individuals) prior to study enrollment. In scenarios where informed consent was waived by the overseeing ethics committee due to the secondary use of fully anonymized retrospective records, this formal waiver must be clearly declared. Furthermore, for clinical case reports, photographical material, or clinical series containing identifiable details, authors must confirm that written informed consent for publication was secured from the patient or legal guardian.

4.3 Animal Research

Experimental or comparative research involving animal models within rehabilitation, exercise physiology, or allied health disciplines must comply strictly with international and national recognized guidelines for animal welfare and humane laboratory treatment. Authors must provide full documentation within the manuscript stating the governing institutional animal ethics committee approval reference number, the details of the facility where the animal procedures were conducted, and a statement confirming strict adherence to international animal welfare standards.

4.4 Clinical Trial Registration

In alignment with global clinical research ethics and ICMJE directives, all prospective interventional clinical trials (including physiotherapy interventions, therapeutic rehabilitation regimens, and community health trials) must be registered in a publicly accessible trial registry prior to the enrollment of the initial participant. Authors must explicitly report the registry name, the unique trial registration number (TRN), and the formal registration date within both the Abstract and the Methods section. Retrospective trial registration (occurring after participant enrollment has commenced) is strictly prohibited, though minor technical discrepancies or non-interventional registry variations may be evaluated under general editor-discretion criteria by the Editor-in-Chief.

Note: Acceptable trial registries include WHO International Clinical Trials Registry Platform (ICTRP) primary registries and ClinicalTrials.gov. Submissions concerning interventional trials lacking prospective registration will be declined prior to peer review, subject to sole editorial discretion.

4.5 Research Misconduct

Any form of plagiarism, data fabrication, data falsification, inappropriate authorship, duplicate publication, or selective outcome reporting constitutes research misconduct and is grounds for immediate rejection, retraction of published work, and notification of the authors' affiliated institutions and relevant oversight bodies. The journal employs similarity-detection software on all submissions.

5. Authorship Criteria and Responsibilities

5.1 Criteria for Authorship

All listed authors must have made substantial contributions in all of the following areas:

  • Conception or design of the work, or acquisition, analysis, or interpretation of data;
  • Drafting or critically revising the manuscript for important intellectual content;
  • Final approval of the version submitted for publication; and
  • Agreement to be accountable for all aspects of the work, including accuracy and integrity.

Contributions that do not satisfy all four criteria — such as provision of funding or technical assistance — qualify for acknowledgement, not authorship.

5.2 Corresponding Author

The corresponding author is responsible for ensuring that all co-authors have reviewed and approved the final manuscript and this submission. The corresponding author manages all pre- and post-publication communications on behalf of the author group and is responsible for the accuracy of contact details and ORCID iDs.

5.3 ORCID iDs

All authors must provide valid, verified ORCID iDs no later than the point of final acceptance. ORCID iDs are linked to the published article and verified against the official registry.

5.4 Changes to Authorship

Any proposed changes to the authorship list after submission — including additions, deletions, or changes in authorship order — must be submitted in writing to the editorial office and require the written consent of all currently listed authors and a clear justification. The Editor-in-Chief has final discretion on authorship disputes.

6. Article Types and Submission Requirements

The table below summarises the specifications for each accepted article type. Word limits apply to the main text only, excluding the abstract, references, tables, and figure legends. Authors must include the completed reporting guideline checklist for their study design as a supplementary file.

7. Manuscript Preparation and Formatting

7.1 File Format and Structure

Manuscripts must be submitted in Microsoft Word format (.docx). Documents should be structured with clear section headings appropriate to the article type. A typical original research article should include: Title Page, Abstract and Keywords, Introduction, Methods, Results, Discussion, Conclusions, Declarations, and References. Other article types should follow the structure prescribed by the applicable reporting guideline.

7.2 Text Formatting

  • Single-spaced throughout, using 12-point font
  • Italics used instead of underlining, except in hyperlinks and URLs
  • Tables and figures embedded within the text at appropriate points, and also supplied as separate high-resolution files
  • Continuous line numbering applied throughout the manuscript
  • Pages numbered sequentially

7.3 Figures and Images

All figures must be supplied at a minimum resolution of 300 dpi for photographs and 600 dpi for line art, in TIFF, EPS, or high-resolution JPEG format. Figure legends must be sufficiently detailed for each figure to be interpreted independently of the main text. Authors must obtain written permission to reproduce any previously published figure or image.

7.4 Tables

Tables must be created using the table function in Microsoft Word, not as images. Each table must have a descriptive title and must be interpretable independently of the main text. Abbreviations used in tables must be defined in a footnote.

7.5 Statistical Reporting

Authors must report exact p-values (e.g., p = 0.037) rather than threshold comparisons (p < 0.05), except where p < 0.001. Effect sizes and 95% confidence intervals must be reported for all primary and secondary outcome comparisons. The statistical software used must be named with version number. For clinical trials, the sample size calculation must be described in full, including the assumptions, target power, and significance level used.

7.6 Preprints

Manuscripts previously deposited on a recognised preprint server are eligible for submission, provided the preprint version is not updated or revised while the manuscript is under editorial review. Authors must declare the preprint in the cover letter, providing the server name, DOI or URL, and the date of deposit.

8. Referencing Style

8.1 Vancouver Style

All manuscripts must use the Vancouver citation and referencing style throughout. References are numbered consecutively in the order of first appearance in the text. In-text citations appear as superscript Arabic numerals. Every in-text citation must correspond to a complete reference entry in the reference list, and every reference entry must be cited within the text.

8.2 Reference List Format

Journal articles: list the author(s) surname and initials, article title, abbreviated journal title (italicised), year; volume(issue): page range. Up to six authors should be listed; if seven or more, list the first six followed by et al. Books, book chapters, and websites should follow standard Vancouver format. Website references must include the full URL and the date accessed. Unpublished data and personal communications may be cited within the text in parentheses but should not appear in the reference list.

9. Mandatory Declaration Sections

All manuscripts must include the following declaration sections at the end of the manuscript, after the Conclusions section and before the References. Where a section is not applicable, authors must write Not applicable rather than omitting the section. Sections must appear in the order shown below.

If AI tools were used, state: tool name and version, purpose of use, and confirmation that authors reviewed and take full responsibility for the content. If no AI tools were used, this section is not required.

10. Use of Artificial Intelligence and AI-Assisted Technologies

10.1 Permitted Use

Authors may use AI-assisted tools exclusively for language editing purposes, including correction of grammar, spelling, syntax, and translation. Use of widely available language support software for these purposes does not require explicit disclosure.

10.2 Prohibited Use

The use of generative AI to produce original scientific content is strictly prohibited. This includes the generation of hypotheses, research conclusions, data interpretations, literature summaries, and the drafting of any section containing research findings or intellectual contributions. AI systems may not be listed as authors or co-authors. AI-generated or AI-modified figures, tables, images, and graphical abstracts are not permitted unless AI processing is an integral and pre-specified component of the study methodology, in which case full methodological disclosure is required.

10.3 Mandatory Disclosure

Where generative AI has been used for any purpose during manuscript preparation, authors must include a dedicated section immediately before the References section under the following heading:

Declaration of Generative AI and AI-Assisted Technologies in the Writing Process

This statement must specify: (a) the name and version of the tool used; (b) the specific purpose for which it was employed; and (c) confirmation that the authors critically reviewed all AI-assisted content and take full responsibility for the accuracy, originality, and integrity of the final manuscript.

Example: During the preparation of this manuscript, [Tool Name] (version X.X) was used to improve language clarity and grammar. The authors reviewed and edited all AI-assisted content and take full responsibility for the final manuscript.

10.4 Author Accountability

All authors remain entirely accountable for the accuracy, originality, and integrity of the submitted work regardless of AI tool usage. Failure to disclose AI use in contravention of these guidelines may result in manuscript rejection, retraction, or referral to institutional oversight bodies.

11. Data Availability and Transparency

Authors are strongly encouraged to make underlying data openly available in a recognised public repository. The Data Availability Statement must specify one of the following:

  • The dataset is deposited in a named repository and is accessible via a persistent identifier (DOI or URL).
  • De-identified data are available from the corresponding author upon reasonable request, subject to ethical or regulatory constraints, which must be described.
  • Data sharing is not possible, with a clear and justified explanation.

Supplementary materials — including extended datasets, protocols, or additional analyses — may also be submitted directly to the journal to support transparency and reproducibility.

12. Submission Package

A complete submission must include all of the following components. Incomplete submissions will be returned to authors without editorial review.

  • Cover letter addressing novelty and significance; declaring any preprint, related submission, or potential overlap with prior work
  • Main manuscript structured as described, with embedded tables and figures and continuous line numbering
  • Separate high-resolution figure files (minimum 300 dpi; TIFF, EPS, or JPEG format)
  • Completed reporting guideline checklist as a supplementary file
  • Ethics approval documentation (IRB letter or committee approval certificate)

Here is the adapted Post-Acceptance Procedures and Post-Publication Corrections and Retractions section, rewritten specifically for your journal in accordance with all specified parameters:

14. Post-Acceptance Techniques

14.1 Licence Agreement and APC

Following formal manuscript acceptance, the corresponding author must complete the Creative Commons Attribution 4.0 International (CC BY 4.0) publishing agreement, under which the authors retain full copyright to their work. Additionally, the standard Article Processing Charge (APC) of 26,000 PKR for authors based in Pakistan or 100 USD for international submissions must be settled prior to transferring the manuscript to production. Any special fee adjustments or waiver requests previously granted under editor-discretion criteria will be reflected in the final invoice issued by EXACT RESEARCH SOLUTIONS (SMC-PRIVATE) LIMITED. Production work commences upon confirmation of APC settlement and licence sign-off.

14.2 Language Editing

To ensure high readability and consistency across global audiences, all accepted manuscripts undergo professional language editing, copyediting, and structural formatting prior to typesetting. This step refines grammar, academic style, and formatting without altering the underlying scientific findings, clinical data, or authorial conclusions in the health and rehabilitation sciences field.

14.3 Page Proofs

Corresponding authors will receive formatted galley page proofs via the OJS publishing platform for final verification. The proofreading stage is strictly intended to correct typographical errors, layout alignment, or missing citations; substantive changes to the manuscript text, data tables, or author lists are not permitted. Authors must review and return their approved proofs within the strict deadline specified by the editorial office to prevent publication delays.

14.4 Online Publication

Accepted articles are assigned a unique publication index and published online immediately upon production completion. Published articles are immediately deposited into the PKP Preservation Network (PKP-PN) to guarantee permanent digital archival and continuous open access. Authors are strongly encouraged to disseminate their final published articles across institutional repositories, professional networking platforms, and clinical community channels to maximize readership and academic visibility.

15. Post-Publication Corrections and Retractions

Journal of Exact Community Health & Rehabilitation Sciences (JECH) maintains unwavering dedication to protecting the accuracy, transparency, and scientific integrity of the published scholarly record. Post-publication issues, errors, or ethical inquiries are evaluated systematically in full accordance with ICMJE Recommendations and established international publishing standards.

  • Corrections (Errata / Corrigenda): Issued to correct minor typographical, formatting, or technical errors that do not affect the scientific validity, data integrity, or core findings of the article. Formal correction notices are published online and permanently linked to the original publication.
  • Expression of Concern: Published by the Editor-in-Chief when serious, credible concerns regarding manuscript integrity, ethical compliance, or data authenticity are raised, and formal institutional investigations remain pending or inconclusive.
  • Retraction: Promulgated in circumstances involving verified research misconduct, scientific fraud, pervasive honest error invalidating overall findings, duplicate/overlapping publication, or unresolvable ethical violations. Retracted articles are not removed from the online public record; instead, a formal retraction statement is permanently appended and linked to the original published file.

Authors, reviewers, readers, or institutional representatives who identify potential errors or ethical issues are urged to contact the editorial office directly at Admin@jech.exactresolution.com. All reported concerns will be thoroughly investigated under editorial oversight.

16. Copyright and Licensing

Authors retain copyright of their work. By submitting a manuscript, authors grant the journal the right of first publication under a Creative Commons Attribution (CC BY) licence, which permits unrestricted use, distribution, and reproduction in any medium, provided the original work is correctly cited. Upon acceptance, authors must sign a formal licence agreement confirming these terms.

Authors are responsible for ensuring that their submission is original, has not been published elsewhere, and does not infringe upon the intellectual property rights of any third party. All necessary permissions for any copyrighted material incorporated in the submission must be obtained prior to publication.

17. Policy Revisions

These guidelines are reviewed periodically and may be updated to reflect changes in publishing standards, reporting requirements, and emerging technologies. The version of the guidelines applicable to a manuscript is the version in effect at the date of submission. Authors are advised to consult the current guidelines on the journal website before preparing their submission.

-

18. Contact and Support

For guidance on manuscript preparation, formatting requirements, policy interpretation, or submission procedures, authors should contact the editorial office through the journal author portal or via direct email. Authors are encouraged to raise queries prior to submission to ensure all requirements are met before formal submission.

These guidelines are subject to periodic revision. Manuscripts are bound by the version of the guidelines current at the date of submission.
